Story in my workplace 1
I work in a training department and we have offer elearning to our staffs. However, some of our staffs always have difficulties in completing the elearning course for different reasons such as network problem, skipping of several elearning sessions etc. As we have buy the elearning system from an external vendor, so our IT department does not offer maintenance or technical support to the elearning system. Whenever they cannot complete the elearning, they will try to approach me or my colleague to solve the problem though neither of us have it background. We have no right to remote access their computer and thus what we can do is to transfer their case to the external vendor. And the process is very time consuming. I reflect the problem to my boss and finally he hires a new staff with technical background to handle all the elearning enquires.
Story of my workplace 2
As I mentioned before, we have a company library which mainly serve to enhance staff professional development. However, the library is maintained by staffs with no library field knowledge and the treat the library items as general document to manage it. Thus, the old library catalog system only reflects which department initiates to buy the items and the chronological order of acquisition. After the library is transfer to the new established branch, they decide to use formal library classification scheme to classify the library materials which can group related items together for user easily identify what they needs.
Why I want to share these two stories?
These two stories are both about improper resources allocation. When the management assigns the tasks to staffs, it is necessary for them to consider which skills is needed to complete the tasks and do their staffs own these skills. Technical skills are needed to handle elearning issue whereas library classification knowledge is needed to handle the classification of library materials. Arrange staffs with no related skills to handle the task may lead to a waste of resources as they may not able to handle the task or need to spend more time to solve it comparing with staffs with related skills.

Besides telling your story in person, sharing your story in video becomes a popular way with the widespread of internet. A set of short videos by Drew Keller shares the keys in sharing story in video.

The keys includes we need to define your topic clearly for easy understand, refine the message and try to simple wordings, understand your audience by doing survey such as collecting their demographic information, make the story interesting with turning point and climate, make the video short as audience are not patient to long paragraph, should have a main character to deliver the important massage, need to consider how your video being share such as do you want it be downloadable etc.

    You talk about your own experience that you reflected the problem to your boss and finally he hires a new staff with technical background to handle all the elearning enquires.

    Thank you for sharing your story in the organization. I agree with you that arranging non technical staffs to handle technical issue leads to inefficiency and thus the cost could be higher than hire an extra technical staff. So I think you have enough courage to make good choice to talk to the management about the situation. Besides, the video that you shared for us to sharing stories is useful too.
